When every supplier receives the same club requirement, differences in price, scope and delivery become easier to see. A precise brief also reduces repeated questions and approval errors.

The buying question
01 · Essentials
State the club or organisation, team type, number of players, country, available budget and required delivery date. These facts determine whether a supplier’s minimum order, production route and timing are plausible.
Describe the match requirement before optional clothing. Separate home, away, goalkeeper, training and travel items so the club can approve them in stages if necessary.
02 · Specification
List the required garments, sizes, colours, badges, sponsor marks, names and numbers. Say whether the club needs a custom design, an existing range or is open to both. Include preferences for samples, minimum quantities and later reorders.
Ask the supplier to separate anything not included: VAT, design, printing, samples and delivery. This creates a visible delivered total without assuming that every quote uses the same definition of a full kit.
03 · Approval
Before placing an order, replace estimates with the chosen supplier’s written terms. Confirm the artwork proof, item count, sizes, price, deposit, balance, delivery address, production timing and top-up process.
