Write the required contents clearly: shirt, shorts and socks for each outfield player; one or more goalkeeper sets; and any training or travel garments. State whether the price must include the crest, sponsors, names, numbers, VAT and delivery.

If the club wants both match and training wear, separate the two totals. This keeps the essential match order visible and lets optional items be approved without confusing the core budget.

Do not assume sizes are consistent between suppliers or ranges. Use the current guide for the exact garment and arrange samples where possible. Record each player’s selection in writing before the order is approved.

For youth teams, agree how growth, mid-season registrations and replacement garments will be handled. A reliable top-up route can be more valuable than a small saving on the opening order.

Store the final squad list, approved artwork, numbers, sponsor positions, sizes, product codes and delivery confirmation together. Nominate one club contact to approve changes and consolidate player updates.

Before payment, confirm the final item count, delivery address, production timing, cancellation rules and the process for correcting defects or printing errors.
